How to change IT providers with less disruption
A handover checklist for clinics, law firms and professional offices.
1. Collect an inventory
Document devices, servers, network equipment, domains, cloud services and application vendors. Identify the business owner of each service.
2. Check account ownership
Verify your company controls its domain, Microsoft 365 tenant and other essential subscriptions. Transfer access through secure channels.
3. Agree a transition plan
Set dates, responsibilities and escalation contacts with both providers. Confirm support coverage during the handover.
4. Review critical dependencies
Check backups, remote access, firewall policies and clinical or document systems before changes are made. Avoid scheduling disruptive work during critical business activity.
5. Verify after handover
Test representative staff workflows and recovery procedures. Remove access that the former provider no longer needs after the transition is complete.
